Kingshill Tree And Garden Services Ltd Working Practices
Tree Preservation Orders and Conservation Areas
Following client agreement to proceed, Kingshill Tree And Garden Services Ltd will check with the Local Planning Authority to determine if any trees are subject to a Tree Preservation Order (TPO) or fall within a Conservation Area. If formal applications or notifications are required, a non-refundable upfront administration and consultancy fee (typically £150 per application) will be charged. If the local authority or the situation requires a formal written Arboricultural Report, this will incur additional costs which will be quoted and agreed upon separately. All application and report fees must be settled in full before any documents are officially lodged or released.
Stump Grinding
Where specified, stump grinding will be to a level approximately 6” below the adjacent ground and will not include any lateral roots unless specified. Arisings will be left on site and backfilled into the stump hole as a mulch. Note: Stump grinding is NOT included as part of any felling or removal job unless specified in the quotation. You undertake to notify the contractor of any underground services in the grinding areas.
Your Responsibilities
Underground services
You must notify Kingshill Tree And Garden Services Ltd of the position of any underground services crossing the site where the work is to be undertaken and provide a plan showing the locations of underground services. You agree to indemnify and hold harmless the contractor for any damage to underground services as a result of negligence howsoever caused. Power lines, telephone and other cables: You must remove or cause to be rendered safe any power lines, telephone or other cables which may interfere with the work or which may cause injury or damage to any Kingshill Tree And Garden Services Ltd employees or sub-contractors.

Children and pets
It is your responsibility to keep the working area free of children and pets.
Site hygiene
We are unable to work on sites littered with dog or animal faeces. It’s your responsibility to clear such mess before we arrive or incur an additional fee for cleaning or clear-up on the day. If this is not possible you may incur a rebooking callout fee.

In the case of force majeure, the contract may be suspended or cancelled.
72-Hour Booking & Deposit Policy
Because we coordinate heavy equipment, specialist crews, and local council permits ahead of time, last-minute changes heavily impact our schedule. More than 72 hours' notice: You may reschedule or cancel your booking for a full refund of your deposit. Less than 72 hours' notice: The 15% deposit becomes strictly non-refundable to cover our administrative costs and lost crew time. Weather-related changes: Tree work is highly weather-dependent. If high winds or heavy storms make conditions unsafe, we will contact you to reschedule at no additional cost to you, and your deposit will transfer over seamlessly.
Statutory Consumer Cancellation Rights
As a consumer, you have a statutory right to cancel this contract within 14 days without giving any reason from the date the contract is concluded. To exercise this right, you must inform The Manager, Kingshill Tree And Garden Services Ltd, Albany House, 14 Shute End, Wokingham, RG40 1BJ via a clear written statement (e.g., a letter sent by post or email). Important Note on Urgent Bookings: If you request, book, or schedule your work to commence within this 14-day cooling-off period, you explicitly agree to waive your statutory right to cancel without charge. In such instances, if you cancel a booked date with less than 72 hours' notice, our standard 15% non-refundable deposit terms detailed above will apply.
Payment – Payment upon Completion

The works are deemed complete when Kingshill Tree And Garden Services Ltd has completed the tasks outlined in the quotation to the best of their professional ability. The client is liable to pay the full amount stated on the quotation/invoice without withholding any funds. Any minor queries or adjustments do not constitute a reason to delay or dispute the primary payment due on the day.
Late Payment
Where invoices are overdue and payment has not been received, Kingshill Tree And Garden Services Ltd reserves the right to charge interest on outstanding balances at a rate of 8% above the Bank of England base rate per annum, calculated daily, alongside any reasonable debt recovery fees incurred.
